Share Your Workflow

Want your clients, colleagues, or others to take your workflows to send you data or generate documents? Here are the different ways you can share your workflow.

Share the link with colleagues or clients (most popular)

Paste a link into an email or behind a clickable button on your website or intranet. This is the most popular way to share because it's easy for single workflows!

1. Go to the Dashboard and click the link icon next to the workflow name to copy it to your clipboard.

2. Paste that URL to your email, intranet, or as a clickable button on your website.

3. When your colleague or client clicks on that link, it will take them to the beginning of the workflow.

Note that any workflow with a Clio question, a CSV set to private, or any other private data will only be accessible to Builders on your account.

Share the link with colleagues or clients (login required)

When you share your workflow this way, your user will be set up in their own User Portal, where their answers will be saved.

1. Go to the “Settings” tab of your workflow, then “Access Permissions

2. The default is “Anyone with Link,” so to require a login, choose “Only Logged-In Users” and save your workflow.

3. Go to the Dashboard and click the link icon next to the workflow name to copy it to your clipboard.

4. Paste that URL to your email, intranet, or website.

5. When your client clicks on that link, they will be taken to the sign-in page for your account, where they will be asked to create an account. Once they do so and sign in, they will see the workflow you shared.

Assign workflows to logged-in users

For clients who already have an account, either because you have invited them as a new User or because they have followed a link that requires sign-in and set up an account, you can assign workflows to their User Portal account.

You can place workflows behind buttons on your site, or set up paywalls using the Bundles feature. Here's an example of a custom internal portal page. This can be useful if you have a set of workflows that you would like clients or colleagues to be able to access and fill out repeatedly.

Share workflows from the middle

You may want to enter some of the data into the questionnaire, but then pass the workflow to the client to complete (or vice versa).

1. Use the Include Link to Continue Later option in the Settings of your workflow (see below) to generate a link for the user to pick up where the last person left off.

2. Once you have entered the data you would like to input and send to another individual you can click the “Save and Continue Later” link in the workflow and input the other individual’s email. They will receive an email with the continuation Link.
